Key Job Functions:

  • Cash Forecasting and Cash Flow Management
  • Work closely on an ongoing basis with the CEO and the leadership team on cash flow forecasting.
  • Perform and monitor annual budget analysis with CFO;
  • Review Accountant’s cash flow analysis prepared on a monthly basis in regards to customer contracts, commitments for labor and materials, G&A expenses, proceeds from debt and equity contributions/distributions;
  • Ensure that cash receipts are recorded properly by the Accountant and reflected accurately in Sage;
  • Ensure that cash disbursements are paid properly by the Accountant pursuant to coding for G&A or job cost, paperwork and authorization is complete and transactions will be reflected accurately in Sage;
  • Coordinate with CFO regarding major cash transactions (e.g. equity transactions, capital expenditures) and properly account for transactions to maintain adequate cash balance;
  • Ensure that internal controls are complied with in order to protect and preserve cash and other assets.

Financial Reporting

  • Manage all aspects of corporate accounting for CityLift including preparation of income statements, balance sheet, job cost reports and equity reconciliation. Review financial statements with CFO on monthly/quarterly basis;
  • Prepare and record non-cash and accrual transactions via GL and Project Management modules in Sage 300 pursuant to approval procedures;
  • Review receivable and payable reports with Accountant with respect to coding, accuracy and aging of the bill and invoices;
  • Reviews purchase orders with vendors, consultant agreements and other project costs to ensure that job cost reports are accurate by customer and project;
  • Review and monitor G&A expenses prepared by the Accountant and ensure compliance with the annual budget / business plan;
  • Work with Accountant to reconcile customer contracts in Salesforce with information in Sage 300 to ensure accurate billings revenues by customer and project. Also, monitor new projects in the pipeline within Salesforce and anticipate when contracts will be signed and entered into Sage.
  • Monitor and reconcile capital accounts, contributions, distributions and profit splits. Review with CFO as needed;
  • Monitor project profitability with respect to customer contracts and corresponding job costs with respect to budgets, actual costs and estimate to complete. Managing profitability includes (a) Monitoring WIP reports during design and installation; and (b) Calculating profits once the project is complete;
  • Calculate and estimate draws from banks (if available) and capital calls from equity members;
  • Ensure that internal controls are complied with in order to maintain integrity of all company assets, liabilities, equity, revenues and expenses.

Customer Contracts

  • Set-up and maintain Sage relating to contracts by project and customer. This includes setting up codes, coordinating with the A/R module in order to monitor profits by project, region and line of businesses;
  • Review Accountant’s coding for new customers, generating billings, and proposed journal entries to ensure that data is entered correctly into Sage for tracking profits.

Job Costing

  • Set-up and maintain Sage for proper cost segregation by project / customer. This includes setting up codes to monitor and report profits by project, region and line of businesses;
  • Review Accountant’s coding for new jobs, entry of commitments and proposed journal entries to ensure that data is entered correctly into Sage for proper job costing and tracking profits.

Payroll

  • Review payroll processed by Accountant via ADP on a semi-monthly basis, including new hires and bonuses, 401(K) reports, expense reimbursement to employees, etc.
  • Review and monitor payroll tax transactions to ensure in compliance with government requirements for payroll taxes and employee contributions;
  • Coordinate with Pension Dynamics for benefit plan analysis and manage year end reporting to fulfill various requirements;
  • Review payroll related documents for employees prepared by Accountant to ensure all personnel files are up-to-date with appropriate completed forms;

Compliance

  • Facilitate and manage annual audits and tax returns with CPAs;
  • Ensure compliance with federal and state reporting requirements (e.g. 1099s)
  • Ensure compliance with various other jurisdictions regarding sales & use taxes, property taxes, business taxes, etc.
  • Maintain debt covenants per loan agreements (if applicable)

Other General Duties

  • Supervise Accountant and assist CFO on internal/external financial reports including quarterly forecasting, monthly cash forecast and other performance metric reports;
  • Monitor and maintain integrity of accounting software Sage 300;
  • Other special projects as directed by CFO and CEO.

Qualifications

  • I5—10 years as controller with experience in overseeing accounting systems, financial statement preparation, cashflow management, managing audits and tax returns and working cross functionally with other departments;
  • Minimum of 2 years of experience in the industry(s) of construction (i.e. general contractor), manufacturing and/or real estate development;
  • Experience with managing all aspects of an accounting software system and producing financial statements, preferably an ERP system such as Timberline or Sage 300;
  • BA in accounting or finance, CPA or MA/MBA preferred;
  • Demonstrated track record of advancement within a company;
  • Ability and interest in working in a fast growing company;
  • Ability to keep a firm grasp on the company’s numbers in a fluid environment;
  • Strong analytical and quantitative skill set along with excellent MS Excel skills;
  • Passion for details and organization and ability to explain the analytical approach and resolution pro;
  • Ability to succeed in managing competing priorities
  • A strong team player with the ability to work with co-workers and customers.
  • Excellent communication skills both written and oral.
  • Ability to organize, supervise, build team, and lead others
  • Experience with international business preferred
