Essential Functions And Tasks

This position is responsible for providing receptionist and records management support to the corporate Member Services/human resources department. The position is also responsible for the following, but not limited to:

  • Operate telephone switchboard to answer, screen and forward calls, providing information, taking messages and scheduling appointments.
  • Greet persons entering the office, determine nature and purpose of visit, and direct or escort them to specific destinations.
  • Provide information such as location of departments or offices, employees within the organization, or services provided.
  • Ensure knowledge of staff whereabouts and maintain accurate and complete sign-in/sign-out procedures for on-site staff and guests.
  • Promptly, accurately, professionally and courteously assess 100% of received calls/inquiries and direct and/or record and relay messages.
  • Prepare and process outgoing mail to include: accurate weighing; coding; sorting; affixing postage; properly addressing; and preparing certified/overnight/return receipt mail.
  • Collect, sort, distribute and prepare mail, messages and courier deliveries.
  • Receive payment and record receipts for services.
  • Open and legibly and appropriately stamp, as applicable, deliver mail and sort into appropriate folders for distribution.
  • Sign for deliveries when necessary and notify recipients.
  • Ensure postage system is operational and keep supervisor informed of postage needs.
  • As needed, call postage vendor to update postage balance and obtain updates to postage machine software.
  • Maintain the cleanliness of the common office areas; disposes of trash in waste receptacles as appropriate.
  • Ensure kitchen/kitchen appliances and bathrooms are kept neat, clean and stocked with appropriate supplies.
  • Maintain confidentiality of organization fiscal and personnel related information.
  • Prepare personnel file. Add new material to file records, and create new records as necessary.
  • Locate and remove material from file when requested.
  • Answer questions about records and files.
  • Eliminate outdated or unnecessary materials, destroying them or transferring them to inactive storage according to file maintenance guidelines and/or legal requirements.
  • Find and retrieve information from files in response to requests from authorized users.
  • Modify and improve filing systems, or implement new filing systems.
  • Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition.
  • Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information.
  • Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order.
  • Track materials removed from files in order to ensure that borrowed files are returned.
  • Perform general office duties such as typing, operating office machines, retrieving, and sorting mail.

Experience/Requirements

  • High school diploma or equivalent.
  • Must submit to and pass a drug screen and criminal background check.
  • Must possess own vehicle.
  • Intermediate knowledge of MS Office.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Possess intermediate administrative skills, strong interpersonal skills, the ability to work as an effective team member in a collaborative work environment, and a proven commitment to the values inherent to a culturally diverse workplace.
  • Demonstrate exceptional oral communication skills by conveying information effectively.
  • Experience researching and resolving issues quickly. Ability to deal with irate customers and resolve customer issues and/or complaints.
  • Adept at using all features of the telephone system and voice mail.
  • Possess intermediate administrative skills, strong interpersonal skills, the ability to work as an effective team member in a collaborative work environment, and a proven commitment to the values inherent to a culturally diverse workplace.
  • Demonstrate exceptional oral communication skills by conveying information effectively.
  • Ability to deal with irate customers and resolve customer issues and/or complaints.
  • Must frequently lift and/or move up to 10 lbs and occasionally lift and/or move up to 25 lbs.
  • Must be able to stand, sit, and walk frequently at least 7 hours a day.
