Senior Events Coordinator (Columbia, US)

Position Summary

The Senior Events Coordinator will plan and execute Rekor’s engagement at a range of events spanning from large industry conferences, national sales meetings, regional trade shows, hosted lunch and learns, speaking or sponsorship engagements, virtual and hybrid events, and other activities. The person in this position will need to have an overall understanding of each event’s focus and strategic goal, as well as the ability to navigate the business functions of event management. The Senior Events Coordinator is a highly detail oriented and collaborative project manager who is comfortable taking the lead in driving tight timelines and successful activities while staying flexible given the fluid circumstances in events. In this role, you will facilitate all aspects of planning, including site selection, vendor negotiation and coordination, registration, internal pre and post-event communications, budget management, and other actives for the lifecycle of the event. You will also work closely with the sales team and marketing operations to ensure the right participants and attendees join the meetings, while tracking follow up and the measurement of each event's impact.

Role and Responsibilities

  • Responsible for managing and supporting events that directly and indirectly grow the business and generate revenue for Rekor
  • Collaborates with a variety of multi-disciplined cross functional teams/organizations to establish an event’s strategic direction, facilitate problem-solving, and execute event goals (event themes, locations, and agendas), and marketing programs
  • Compose and implement policies for event planning best practices along with ROI models for event activities
  • Authors and conducts pre and post-event evaluations/surveys; report outcomes of each evaluation/survey
  • Works effectively to negotiate agreements with 3rd party vendors, contractors, and other providers in support of event execution
  • Manages the event calendar, master and individual event budgets, along with the master and individual event project plans
  • Meets all fixed deadlines for material writing, production, and event delivery
  • Provides onsite support, leadership and troubleshooting during events as needed and works directly with event registrants on challenges that arise
  • Other duties as assigned

Qualifications and Education Requirements

  • Five years of related work experience required with a degree in marketing, communications, or related field preferred
  • Demonstrated project management skills to lead and execute on a variety of complex projects simultaneously, delivering on budget and on deadline
  • Strong interpersonal skills and professional demeanor, to include favorable representation of the company to internal and external audiences
  • Proven ability to work both independently, proactively, and as part of a team while exercising sound judgment and managing matrix relationships to meet goals
  • Ability to manage external vendor resources and relationships - this position may have indirect and direct supervisory responsibility for 3rd party vendor support staff
  • This position may require select travel, and the ability to work early mornings, evenings and weekend hours as necessary

Preferred Knowledge, Skills and Abilities

  • Ability to manage high volume of work and multiple priorities
  • Expertise in event and meeting planning principles and best practices
  • Proven track record with critical thinking and problem-solving abilities
  • Ability to work independently (tactical, strategic, and proactive) as well as part of a team
  • Excellent oral, written, presentation and interpersonal communication skills
  • Leadership skills to effectively manage event staff with and without reporting relationships
  • Vendor contract management and negotiations
  • Experience with events management software, Microsoft Office Suite, Asana, HubSpot, Salesforce, and other MarTech tools
