This position is located in our Indianapolis office and provides admin support to the CEO, core leaders & corporate office teams and is responsible for facilities & office management.
Calendar Management / Travel Coordination / Inbound Calls: Schedule appointments, manage calendar for CEO; coordinate calendar for BOD meetings; coordinate travel as requested; manage inbound office calls.
Facility & Office Management: Manage and maintain the office including equipment & facility maintenance, office/kitchen supplies & furniture.
Event Planning: Proactively plan, organize and execute events and activities, including facility preparation (meeting room set up/clean up), AV assistance, and food & beverage procurement.
Internal Administrative Support: Assist with processing invoices, budgets, expense reports, material creation and copies.
Ad Hoc Projects / Activities: Provide administrative assistance to departments as requested.
Education and Qualifications
To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
Associate degree required, Bachelor’s degree in related field preferred.
Three to five years of experience in an administrative role.
Intermediate to advanced competency in Microsoft Office Suite & other business software.
Knowledge, Skills and Abilities
Excellent technical & organizational skills.
Excellent verbal & written communication skills with the ability to interact with all levels in the organization.
Proven experience in providing excellent customer service (internal and external) and working with confidential information.
Ability to work independently.
Ability to prioritize tasks and tactfully negotiate priority with end users.
Ability to work under deadline pressure and extra hours if needed in a fast-paced, rapidly changing / ambiguous environment.
