The Administrative Support Specialist will work as a key member of the Amano McGann operations team tasked with assisting large account support, report creation & updating, new process implementation, remote training, and ensuring timely reporting of all weekly, monthly and annual reports. We are seeking someone with excellent Microsoft Office skills with an emphasis on Excel and Word. The ideal candidate will be deadline completion driven and have excellent verbal & written communication since they will be interfacing directly with clients and internal teammates.

The Administrative Support Specialist reports to the Senior Vice President of Direct Sales & Operations

Job Responsibilities

  • Demonstrate the ability to influence and foster collaborative relationships; ability to engage resources outside of direct control to gain consensus, meet deadlines, and achieve objectives
  • Document and keep the documentation current of existing/future systems and processes within SOP procedure
  • Support National Account expectations from a service, account receivables, procurement, and reporting perspective
  • Manage weekly, monthly, and annual internal and external report requirements
  • Monthly create financial trending information for forecasting, three times a week for Regional Vice President team
  • Organize Operations meetings
  • Create and distribute monthly sales trends
  • Maintain and update current & future forms for internal teams
  • Manage & update Operations Sharepoint site
  • Support branches on project related challenges
  • Branch Deliverables calendar management
  • Creating Great Plains reports as needed and consolidated to be analyzed by branch & senior management
  • Support compensation process to ensure properly
  • Demonstrate the ability to influence and foster collaborative relationships; ability to engage resources outside of direct control to gain consensus, meet deadlines, and achieve objectives

Skills and Qualifications

  • BA/BS in Business related degree or relative experience
  • Excellent Microsoft Office with work expertise in Excel and Word.
  • Strong Customer Service Skills
  • Administrative Support experience with Sales & Service preferred.
  • Drive to create systems and continuously improve processes
  • Ability to quickly understand how long tasks take to accomplish, and to effectively organize and prioritize tasks with the assistance of team members
  • Ability to manage multiple priorities and stakeholders in a fast-paced environment; track record of producing high-quality deliverables on time
  • Demonstrated proficiency and interest / aptitude in using technology, with the ability to quickly learn new systems
  • Outstanding verbal and written communication skills and effectively communicate time and resource constraints
  • Strong organization skills with excellent attention to detail
  • Sense of humor and collaborative spirit
  • Gain an understand Amano McGann’s equipment solutions and articulate the solutions verbally and in written communications
  • Assist operations team in account management to improve the client experience or resolve challenges
  • Implements and follows all company Standard Operating Procedures (SOP)
  • Creates a positive work environment for all parties
  • Understands and participates in overall company corporate goals
  • Assist operations team to meet profit goals within the branch territory
  • Supports operations department and operations initiatives on a day to day basis
  • Additional duties as assigned
  • Develop and create customized reports
  • Logging and tracking identified system problems through resolution
  • Creating and maintaining documentation on processes, policies, application configuration and help-related materials for users as database applications are developed

Organizational Alignment

  • Reports to the Senior Vice President of Direct Sales & Operations
  • Works directly with Operations Management
  • Works closely and collaboratively with local operations staff
  • This position will be assigned to support US and Canadian Operations
