The Project Coordinator is responsible for contract management including installation and work orders relating to equipment and activity of the field technicians nationally. The scope of management includes field technician supervision, quality assurance and management reporting.
Essential Duties and Responsibilities
Work closely with Product Support Manager to coordinate projects, installation and work orders for field technicians.
Provide support for field technicians to coordinate activity relating to completion of project
Coordinate and manage air travel, car and hotel accommodations and general administrative support for each technician
Supervise day to day operational activities of Field Technicians nationally
Validate daily location and time spent on site to complete field technician work orders
Control weekly time sheets for the field technicians confirming accuracy
Establish management tools to help technicians provide a high level of customer service
Identify required steps and establish consistent quality work performance
Create and implement a Quality Assurance Checklist for field technicians to provide quality work performance meeting set standards
Inform the Project Manager and others about project status and issues that may impact client relations
Provide Contract Administration
Cost out each contract
Identify resources, allocate materials needed and assign individual responsibilities
Allocate labor times to each project and enter into accounting system
Communicate expectations with client, team, and management
Manage activity for each contract and report final details to maximize monthly invoicing
Review deliverables and ensure quality
Troubleshoot and track project issues, communicating with clients and escalating as required; manage issues to a timely resolution
Ensure clients’ needs are met in a timely and cost-effective manner
Produce monthly management reports to meet the Product Support Department standards
Monitor and report to management on the project progress, including significant milestones, and any conditions, which would affect project cost or schedule
Identify trends and challenges and recommend possible solutions
Perform other responsibilities associated with this position as may be appropriate.
Reports to the Product Support Manager and works closely with field technicians, customer support and senior management.
2+ years of experience preferred supporting project and contract administration
Effective communication skills including verbal, written and presentation skills
Strong organizational skills and ability to manage multiple projects and deadlines simultaneously
Excellent analytical skills to breakdown complex tasks into executable and measurable steps
Creative problem solver, able to accomplish goals through a variety of processes and tools
Proven ability to work effectively both independently and in a team-based environment
Demonstrated willingness to be flexible and adaptable to changing priorities
Software requirements: Microsoft Office Suite
