The Spirit Of The Position

The Administration Office Manager reports directly to the Director of Administration for LAZ Parking’s Eastern Michigan University operation and is responsible for overseeing the customer service and permit sales department for the parking system. The Administrative Office Manager will serve a key role with responsibility for directing the customer service team, permit and admin staff while ensuring data integrity for the financial reconciliation process.

Principal Job Duties

  • Responsible for the oversight, management and direction for the Permit Sales team within the administration office of Eastern Michigan University’s parking system.
  • Oversight of the development and implementation of procedures/policies that assist with the supervision of all staff under Manager’s responsibility.
  • Review and revision of customer service center standard operating processes (SOPs), communication documents, and effectively communicate SOPs to team members, stakeholders, and senior management.
  • Schedule all required customer service center staff with internal resources in accordance with volume generated by system and respond to spikes caused by unforeseen events.
  • Responsible for ordering office supplies for the department and planning and adhering to budgets for supplies while ensuring the office is stocked to perform all necessary functions without delay.
  • Manage the ParkEMU email account by responding to emails with appropriate answers with discretion and forwarding any higher level concerns outside of the responsibilities of the manager to the Director of Administration or General Manager as required.
  • Responsible for sales and the creating invoices for permits, overnight passes, validations, etc. and collection of payments for said invoices as well as the management and tracking of all orders for same.
  • Responsible for daily cash reconciliation and cash deposit creation in a timely, efficient and accurate manner to ensure cash handling procedures are followed appropriately. Also responsible for the processing of the Web DCR on a daily basis.
  • Process payroll accurately on a bi-weekly basis; ensuring sign off on hours in a timely manner; collaborate with the regional payroll department to ensure pay data is completed properly; work with Human Resources to ensure proper wage and hour compliance.
  • Conduct and ensure compliance with financial and inventory audits.
  • Develop and administer effective training programs for each position to improve performance and ensure professional customer relations at all times.
  • Responsible for interviewing, hiring, and terminating personnel as necessary as well as discipline, development and evaluation for staff within the permit sales department.
  • Daily, Weekly, Monthly, and Annual reports as required.
  • Implementation and completion of other projects, programs, and initiatives that may arise from the parking system’s operation.
  • Other related duties as assigned.

Requirements

Education

  • Bachelor’s degree or equivalent work experience.

Experience

  • 2+ years in an administrative management role
  • Knowledge and ability to manipulate network and automated systems to meet organization’s needs.
  • Strong customer service experience.
  • Team-building and management skills and abilities a must.
  • Proven ability to effectively lead a team and meet expected deliverables by client/university.
  • Understanding of Eastern Michigan University Permit system desired.
  • Knowledge of Microsoft Office applications, including Excel, Word, Power Point, and Outlook.
  • Understanding and knowledge of Eastern Michigan University campus and surrounding layout preferred.
