The Spirit of the Position
The Administrative Assistant greets and creates a welcoming atmosphere for our employees, customers, and clients by proving excellent service, while ensuring that all front-desk responsibilities are completed accurately and in a timely manner.
Principal Job Duties
Administer key management system including, adding/removing users, managing permissions, triage system errors, and auditing key access monthly.
Arrange for food and beverage purchase and delivery (lunch, meeting snacks, long event days, etc.), participate in the planning and execution of events and gatherings.
Coordinate with office space security to request, track, audit, and remove employee keycard access for the exterior doors of the office building.
Coordinate with janitorial service providers (rug replacement/sanitary supply, cleaning companies, etc.) to ensure an adequate inventory of supplies; and to schedule, oversee, and quality control janitorial duties completed within the office space.
Ensure the office environment is kept orderly, including common areas, conference rooms, hallways, and storerooms.
Greet and welcome guests as they arrive at the office (e.g., getting visitors settled in a conference room, offering a beverage). Provide general support to visitors, including basic and accurate information in-person and via phone or email.
Manage Associate General Manger, Director of Operations, and Senior Manager of Operations schedules, calendars, and appointments as required.
Manage relationship for multifunction scanner, printer, fax, and copier vendor; scheduling, overseeing, and quality control checking of preventive maintenance services and arranging for ad hoc repairs.
Manage relationship with HVAC contractor; scheduling preventative maintenance and contacting the vendor when ad hoc needs arise. Ensure the office space remains a comfortable temperature by adjusting the HVAC control system as necessary.
Oversee the production, distribution, and tracking of identification badges.
Prepare meeting agendas, record and distribute meeting minutes, and track action items.
Receive, sort, and distribute daily mail and deliveries.
Responsible for the reviewing (and when necessary, seeking approval), ordering, tracking, and distribution of office supplies. Monitor inventoried office supplies on a regular basis and reorder when necessary to ensure office functions continue smoothly.
Stock the administrative snack panty, refrigerator, and coffee station with snacks, drinks, and supplies. Inventory supplies on a regular basis and order when necessary to ensure the refreshment areas are always stocked.
Assist with data entry.
Other related duties as assigned.
High school diploma or GED required.
Strong customer service experience.
Data entry experience is preferred but not required.
Knowledge of Microsoft Office applications, including Excel, Word, Power Point, and Outlook.
Ability to communicate professionally and effectively.
Excellent writing skills
Strong organizational skills
Excellent phone, interpersonal, and organizational skills.
Ability to speak, read, and comprehend the English language.
Bilingual abilities are a plus
