Spirit of the Position:
The Marketing Administrative Assistant helps with day-to-day marketing operations for the Oakland International Airport’s Parking Management Office (managed by LAZ Parking). This position works hand in hand with and reports directly to the Marketing Manager. Day to day work includes maintaining fulfillment of the rewards program, fulfillment of promotional programs, coupon issuing, monthly, quarterly, and yearly reports, promotional products, event marketing, and all ad hoc needs and projects to fully support and partner with the Marketing Manager. Duty will evolve and could change with time in response to marketing needs.
Principal Job Responsibilities
Answer all customer emails and telephone calls promptly and provide excellent customer service
Excel data entry of receipts for coupon requests, promotional data, marketing data and ROI analysis and reporting
Issue coupons and mail them (emboss, stamp with expiration date, track, mail or email digital coupon files, respond to bounced emails and record results)
Assist with all side projects assigned by Marketing Manager on an ongoing basis including work with vendors, ordering supplies, and preparing first drafts of reports
Complete monthly reports and data summaries in Excel
Assist with creation, maintenance, ordering and review of marketing materials
Order marketing collateral samples, place and track orders and manage inventory
Contact with vendors and businesses that work with LAZ Parking
Special administrative tasks related to event marketing and promotions around special events
Analyze past data and usages for promotional programs
Assist in creating cost benefit analysis, project proposals, and other one-off needs
General office support and other related duties and projects as assigned
Aid with the creation and implementation of marketing campaigns including drafting communications, proofing, and quoting with vendors.
Assist with SurveyMonkey, MailChimp, Agora Pulse, and other marketing tools
Assist with proofing social media posts (1 per week) and drafting posts for Twitter, Facebook, LinkedIn, and Instagram
Education & Work History
Associates or bachelor’s degree in any field, or pursuing one (marketing, advertising, business or communications is a plus)
1-2 years prior work experience preferred

Ability to communicate professionally and effectively over the phone and through email including proper grammar and punctuation in English language
Data entry with basic, but strong skills in Microsoft Excel and Word (must be able to find and enter basic equations, navigate, format, and analyze data)

Exceptional organization, follow-up and analytical skills
Maintain professional working relationships with all levels of the organization
Positive attitude when request for changes and revisions come through

Copywriting, social media, email, promotions, campaign and event marketing experience
Must be able to sit at and use a computer for entire shift including typing and mouse
Ability to bend, stoop, squat and lift occasional throughout a shift
