The Receptionist / Office Assistant performs a variety of administrative functions for the staff of the Utah office of the company, assisting other employees across the organization. They will interact and correspond with top executives and board members, and visitors to the office, and employees from all company locations.

Essential Functions

Fulfill the duties of a receptionist for the Utah office, answering phone calls, greeting visitors, receiving and distributing mail, etc.
Handle clerical tasks for office staff, such as scanning, printing, mailing, shipping, ordering supplies, arranging for lunch, etc.
Purchase and manage inventory of office supplies and equipment, including snacks and drinks.
Enter accounts payable invoices and credit card transactions into accounting software as needed.
Assist accounting, legal and sales staff with administrative tasks and projects as requested.
Set up new affiliate customers in the gateway system.
Assist the executive assistant for the CEO/CFO as required, including arranging/changing travel, making arrangements for onsite and offsite meetings, scheduling meetings and appointments, managing calendars, preparing expense reports, and assisting with other administrative tasks as requested


Qualifications and Education Requirements

  • Education: High School Diploma required; Associates degree or greater preferred
  • Experience: 1-2 years’ in an administrative role in an office environment required; experience arranging travel is a plus
  • Experience with Google Apps, Microsoft Excel, Microsoft Word, Microsoft PowerPoint, and NetSuite preferred

Knowledge, Skills, Abilities and Other Characteristics

  • Must be familiar with Google Apps, Microsoft Office, and basic organizational concepts.
  • Must be comfortable using a computer, printer, scanner, and office phone
  • Must be skilled in both verbal and written communication, calendaring and scheduling, time-management, organization, and problem-solving.
  • Must be able to handle pressure calmly and be professional in difficult situations.
  • Physical requirements and environment
  • He/she will work in an office environment and must be able to sit for long periods, up to 8 hours per day.
  • Punctuality is a priority and regular attendance is required.
