Director of Internal Systems and Tools (US)


About the Role:

As the Director, Internal Systems and Tools(ISAT) you embody the concept of business justification, creation, organization, and implementation of multiple activities within your field of focus. You are the keeper of the keys as it relates to the health and capabilities of the internal systems and tools which drives Passport’s employees and partners to be successful.

You work cross-functionally on a day-to-day basis to ensure that multiple organizations, teams, and stakeholders work in a collaborative manner and to ensure that our systems and tools are delivering to the expectations and requirements to remain agile and collaborative.

You work regularly to ensure that your team of systems analysts are effective and satisfying their job functions. In this role, you champion the team’s role and function, casting a vision and roadmap of work that spans the breadth of Passport’s systems. You manage the budget for this department and the software licensing that Passport uses each day. You are responsible for the smooth and timely operations of Passport’s internal HelpDesk, provisioning of equipment for, and onboarding of, all employees, and the seamless integration of data between Passport’s various systems. Your work provides the backbone by which the organization, including all offices and remote workers, function.


  • Effectively manage and mentor a team of Systems administrators / analysts to ensure the team is delivering to the best of its ability.
  • Manage budgets for both staff and software/hardware, and be responsible for the business justification and cost analysis behind investment needed to achieve organizational goals.
  • Partner cross functionally with other leaders in the organization to achieve common goals.
  • Provide planning, coordination, and oversight of all operational activities of the Internal Systems and Tools department, as well as provide direction and support for IT solutions across the organization.
  • Working closely with decision makers within other departments to identify, recommend, develop and implement cost-effective solutions.
  • Create policies and procedures designed towards streamlined and secure operations for Passport and ensure this is properly communicated and adopted across the company.
  • Drive a customer-centric and service oriented support culture utilizing the processes, technology and people for all aspects of the organization.
  • Work directly with your leadership to formulate and deploy long-term strategic plans for acquiring and enabling efficient, cost-effective, and streamlined processing and communication technologies.
  • Ensure that future Passporters have a delightful onboarding experience by ensuring that all of their IT functional needs are met on day 1.
  • Ensure consistent and smooth operations of Passport’s day to day Audio Visual capabilities inclusive of conferences, summits, and daily meeting interactions.
  • Manage the scope, schedule and budget compliance of ISAT related initiatives.
  • Proactively and centrally manage user end points and assets, inclusive of laptops, desktops, etc throughout the Passport organization.
  • Utilize automation and service management approaches to ensure an efficient operation within the ISAT team and throughout the organization.
  • Oversee and manage Passport’s infrastructure, LAN & WAN services, and security across the organization to support all business operations for all Passport departments, locations, and remote team members.
  • Ensure internal systems and tools satisfy security audit and compliance requirements across the organization.

About You:

End User management, internal solution deployment and management, end user onboarding and offboarding, Audio / Visual design and support, management of a team of IT systems analysts, large application implementation and management, business model planning and cost justification for investment in people and resources, policy review, creation, rollout and education.   • 5+ years of Systems Engineering/Development /Administration experience is required.
  • 4+ years of direct team management, including budgetary responsibilities
  • 5+ years of technical experience designing and architecting internal systems in a dynamic environment.
  • Understanding in automation / DevOps scripting capabilities strongly preferred (Powershell, JavaScript)
  • Proven ability to mentor staff members and communicate effectively at all levels of the organization.
  • ITIL or related framework understanding and experience are a strong plus.
  • Must be a strong proponent and change agent pushing for IT standards, policies, and best practices across the organization.
